Keep Your Salesforce Contact Data Deliverable
Contact data decays: people change jobs, companies change domains, and mailboxes close. This guide describes a practical routine to keep Salesforce contact data deliverable with Tomba for Salesforce, and the settings that implement each step.
1. Verify at the point of entry
Check every new email as it arrives, before anyone sends to it.
- Turn on Verify emails when they are added or changed (Automation).
- Use the Tomba Email Status field in list views, validation rules or campaign filters: send to
valid, reviewaccept_allandunknown, excludeinvalidanddisposable.
2. Fill the gaps without overwriting your data
Enrich new records, but decide per field what Tomba may change.
- Turn on Enrich new Leads / Contacts / Accounts.
- In the field mapping, keep standard fields your users maintain on Fill empty fields, and let Tomba Overwrite only the Tomba fields (email status, score, LinkedIn, department).
3. Re-verify on a schedule
An address that was valid a year ago may not be today.
- Set Re-verify emails older than N days to match how often you contact your database — for example 90 days for active pipelines, longer for dormant records.
- Repeating a lookup within your billing month uses no extra credits.
4. Act on bounces
When Salesforce bounce management marks an email as bounced, Tomba re-verifies it and, when it is bad, looks for a replacement address.
- Turn on Re-verify emails that bounce.
- Review suggestions in the Bounced Emails with a Tomba Suggestion report or on the record's Tomba Insights panel, and click Use this email to apply one. Tomba never replaces an email on its own.
5. Connect people to the right companies
Duplicate and orphan records hide your real coverage of an account.
- Run Index company domains once on Accounts, then Match to Accounts on Leads and Contacts (Account matching).
- Turn on matching for new records and, if you want, linking Contacts that have no Account.
6. Keep spending predictable
- Set a monthly automation budget so background enrichment never surprises you.
- Set per-user limits and watch the Usage card and the Tomba Credits by User this Month report.
- Choose a low-credit alert threshold so admins hear about it before credits run out.
7. Measure
The Tomba Data Health dashboard shows email status by object and lead source, enrichment activity, the automation backlog and credits used. Review it monthly with your RevOps team.
